Shall include but not be limited to:
Assist the hotel booking team with general administrative duties
Assist with data entry and cross-referencing information in the Festival database (Artifax)
process and troubleshoot hotel reservation requests in an efficient and accurate manner
Generating weekly room inventory and revenue reports through Passkey
Provide customer service to industry professionals in an efficient and courteous manner in-person, via phone or email for hotel and other hospitality needs
Facilitate the processing of credit card transactions for booking fees
Maintain strong relationships with all hotel partners and facilitate clear and frequent communication
Maintain an accurate electronic trail for each guest/attendee
Provide a detailed post mortem following the Toronto International Film Festival
Monitoring of Passkey (group reservations management system) and assisting in management of hotel inventory
Provide Hotels with rooming lists and follow up on any special requests or changes to reservations made through Passkey
Minimum 2 years experience in a high-level customer service role in the hospitality industry (hotel reservations or front desk)
Adaptable to a flexible work schedule including some evenings and weekends leading up to and during the Festival (September 6-16, 2018).
Film Festival or Event Management experience considered an asset
Advanced computer skills (Microsoft Office Suite in particular), and previous experience working with databases and/or a group reservations system similar to Passkey would be an asset
Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
Comfortable working with numbers, invoicing, and other financial information
Strong interpersonal skills; ability to communicate clearly (oral and written)
Able to handle difficult situations with aplomb and grace
Detail and process oriented with excellent administrative and organizational skills
Ability to function as an effective team member, learn quickly, and demonstrate initiative in a fast- paced, high volume environment adapting to changing client needs
Exceptional ability and desire to work under deadline pressures.
Fluency in foreign language(s) considered an asset.
