The Patient Access Representative (Scheduling) is a valuable member of the Patient Access team and has a significant impact on the effective operation of patient scheduling/ registration functions at Mackenzie Health. This position is responsible for the accurate and efficient pre-registration, registration and scheduling services by phone to support quick and easy front desk check in, maintaining a progressive and personalized health care environment for patients.
Accurately deciphers and transcribes physician orders into electronic medical record (EMR).
Schedules physician orders into electronic medical record (EMR).
Scans and attaches physician orders (requisition/ referral) into electronic medical record (EMR).
Interviews patients by phone and enters precise registration information into electronic medical record (EMR).
Validates patient health card information to determine eligibility and actions accordingly.
Educates patients on fees associated with visits. Obtains credit card information on electronic billing consent, when applicable.
Accurately advises patients of related appointment instructions/ preparations and what to expect upon arrival at Mackenzie Health.
Sets reminder call notifications by patient preference.
Answers patients/ physician offices’ scheduling/ registration requests by phone.
Confirms, reschedules and cancels patient appointments.
Pre-registers patients by phone for upcoming appointments.
Auto faxes scheduling orders/ requests.
Training and orientation of new staff.
Other duties as assigned.
Medical terminology certificate required or completion within 3 months of hire.
Graduate of a Medical Office Administration Program or equivalent combination of post-secondary education and/or relevant experience, required.
A minimum of one year scheduling experience or a minimum of two years of registration experience in a hospital setting, preferred.
Well-developed keyboarding/ computer skills with a minimum keyboarding speed of 50-60 wpm and experience using Hospital ADT System (s) and Microsoft Excel, Word and Outlook.

Ability for self-direction and to work independently exercising sound judgment with minimal supervision.
